General terms and conditions

 

Reservation. 
Registration implies full agreement with the general condtions of sales. Registration is accompanied by a deposit of 25% of the amount for each client. This deposit is to be paid 30 days before travel. An e-mail from RRHA will confirm the registration of any requests. Registration have to be filled out with clients full name on passport. 

Physical and psychological fitnes
The clients have to ensure that his/her physical condition fits with the itinerary chosen in Rwenzori. RRHA can not be held responsible for any physical disability during the trek. 

Administrative and safety formalities 
It is the responsibility of of each client to ensure that passport, visa, vaccination certificate formalities are up to date. 

Pricing and terms of payment
The price includes services written in the itinerary provided by RRHA. The total price (and if with any additional services) will be communicated to participant for approval. Registration less than three weeks before arrival, the total sum must be paid at the time of registration.

Cancellation and insurance
It is the client's own resposibility to be insured abroad in case of any medical expences. For all cancellations RRHA must be informed immediately. If the cancellation is 30 days before arrival the amount paid will be refunded. Between 29 - 25 days: 75% of total amount, 24 - 14 days: 60% of total amount, 13 - 7 days: 30% of total amount and less than 7 days: 0%

Responsibility

 

Guides
RRHA shall attach experienced and professional guides to the trekker (s). Such guide shall exercise professionalism in interpretive guiding, trekking, guiding the trekker (s) within the guidelines of Uganda Wildlife Authority

Escorts and cooks. 

All RRHA escorts and cooks attached to the trekker (s) shall exhibit professionalism and humane to ensure visitor satisfaction and enjoyment. They shall ensure safety of the visitor belongings especially bags and the client food during the trek.

Memorandum of understanding

Between Rwenzori Ranges Hikers Association whose registered office is situated at Plot 120 AK Complex, Kilembe Road Opposite Total Petrol Station After Main Kasese Roundabout Next to Don Petrol Station. 
Hereinafter called the Tourist Agent represented by the Director Mr. Byaruhanga Masereka Israel who is an authorized signatory for the purpose of this agreement.

SUBJECT OF THE MEMORUNDUM OF UNDERSTANDING
The Parties hereby agree as follows: The RRHA is independent and his purpose is to buy travel services such as: booking Hotel rooms, booking the sanatoriums and resort services, excursions, park entries, avail information about mountaineering, avail or advise clients in regard to mountaineering equipment, guiding chaffing and transport services in Uganda

Equipment
RRGEA will advise the client through communication by mail on the type of equipment to be used on the trek. The client is at liberty to come with his own equipment or may ask RRHA to hire for him/her such equipment. Incase the client chooses to hire from RRGEA, he/she shall first try such equipment and if deemed fit and right, the client will pay up front for the equipment hired. RRGEA will not be responsible for the wrongful use of the equipment and if the hired equipment is broken, damaged or lost by the client, the client will replace it immediately.

Hotel bookings
RRGEA will advise the client through communication by mail on the type of hotel to be used on arrival, during stay and on departure. The client is at liberty to propose or stay at a place of his or her own convenience. If any hotel booking has been made by RRGEA for the client and the client chooses to use an alternative without cancelling such booking placed by RRHA, he/she shall pay full amounts for the hotel, which he/she was booked in by RRHA. The hotel owner on the other hand shall be held fully responsible for any poor service offered to the clients booked in by RRHA

Transport
RRGEA will advise the client through communication by mail on the type of transport to be used on arrival, during stay and on departure. The client is at liberty to propose or use any other means of transport, which is convenient for him/her. If any transport has been booked by RRHA for the client and the client chooses to use an alternative without cancelling such booking made by RRHA, He /She shall pay full amounts for the transporter to whom he /she was booked in by RRHA. The transport owner on the other hand shall be held fully responsible for any poor service offered to the clients booked in by RRHA

Payment and transfers
RRHA must receive 65% of all payment within twenty-one (21) days after receiving the written confirmation of booking; the 35% balance will be forward to RRHA at least 14 days before the arrival date.
To book last minute tours/ treks, the client shall pay the whole amount at least 3 days before the beginning of the tour/trek. The client shall send a proof of payment by fax or e-mail to RRHA confirms this booking. In case RRHA does not get the agreed amount from the client, such a client (s) lose the right and cannot use the travel services.When making the payment, the client shall indicate the particular travel services and destination he wants to pay for. In case of any extra day prolonging the trek, the client will first be cleared by RRHA management and with clear terms of reference pointed out.

LIABILITY AND CHARGES
RRGEA must accept financial responsibility for all transactions made in its name or account as long as there had been formal communication about the transaction and made by an authorized RRHA official.

Cancellation
If the client cancels the reservation, then RRHA has to apply the following
Cancellation rules:

  • 30- 16 days before arrival date – 30 % loss of the total price of the travel services.

  • 15- 8 days before arrival date – 50 % loss of the total price of the travel services.

  • 7- 3 days before arrival date - 90 % loss of the total price of the travel services.

  • Less than 3 days before arrival date – 100 % of the total price of the travel services.

  • The RRHA can apply additional charges to the client prior to selling the travel services

 

Guides
RRHA shall attach experienced and professional guides to the trekker (s). Such guide shall exercise professionalism in interpretive guiding, trekking, guiding the trekker (s) within the guidelines of Uganda Wildlife Authority in regard to High altitude sicknesses, weather changes, proper use of climbing equipment and also general administration of camps. Any genuine and proven negative report by the client will lead to punishing the guide mentioned.

Escorts and Cook
All RRHA escorts and cooks attached to the trekker (s) shall exhibit professionalism and humane to ensure visitor satisfaction and enjoyment. They shall ensure safety of the visitor belongings especially bags and the client food during the trek. Often, the visitor, guide and escort shall always suggest the best ways of handling the items useful for the trek when they reach and before they leave the
camp or even along the way. The cook shall prepare food fit for the taste and minding the altitude reached by the client.
